Installation Environment Requirements ● Purpose: This product is used for recording VOIP network calls using the SIP protocol. It is not suitable for traditional telephones such as PSTN, ISDN, or digital PBX (KTS). If unsure whether your phone is an IP phone, consult the installer or check the brand and model with your vendor. ● Connection: Uses USB connection to a personal computer, which must have a USB type A interface. ● Operating System: The software is compatible with Windows 8 and above; no Mac version is available. ● Recording Capability: Recording is managed through software on the computer. If the computer is not turned on, the USB is not connected to the device, or the recording software is not running, recording will not be possible. Device Connection Status Indicates whether the recording device is properly connected to the PC. If connected, it shows green; if not, it shows gray. When not connected, the software cannot record or log calls, but data query operations are still possible. Recording Switch Indicator Displays whether the software recording function is on or off. When on, it shows green and calls are recorded; when off, it shows gray and calls are not recorded. The recording switch is set in the System Settings under Recording Function Switch. Real-Time Call Status Indicator Area This area displays the phone usage and recording status. The leftmost handset icon indicates phone status: Standby: Shows the information of your phone. Incoming Call Ringing: Shows the caller's number or name. Incoming Call Active: Shows the caller's number or name and call duration. Outgoing Call Active: Shows the called number or name and call duration. System Settings Click the System Settings icon on the main page to enter the settings window. In the settings page, you can set the folder for data storage and select the recording file format. The default values for these settings are generally sufficient. Recording Function Switch You can choose to enable or disable recording. If enabled, the recording switch indicator on the main window will be green, meaning calls will be recorded. If disabled, the indicator will be gray, meaning calls will not be recorded but call logs will still be kept. My Phone Information Enter the IP address, name, and phone number of the user's desk phone. This information helps the software determine whether the call is incoming or outgoing. Entering one or more pieces of information is sufficient. If left blank, incoming and outgoing call labels may be incorrect. Data Upload Settings These parameters are primarily used with the recording central management software, Vault. For detailed settings, refer to the Vault user manual. Language Used to switch between different languages. Call Records The main window's call records display shows the call logs. To filter records, click on the attributes to filter. The system defaults to displaying all records, with the icon showing green. Click the right-hand filter conditions to turn it green,showing only records that meet the filter criteria. To display all records again, click the icon once more. Filter criteria can be multi-selected, turning the icon green for selected criteria. Only records meeting all selected criteria will be displayed. Filter conditions include: Incoming call records Outgoing call records Missed incoming call records These three conditions can be multi-selected. Marked as important records Records with text notes Records with recording files Set time and date range by entering date and time intervals Viewing Record Details Click on a record in the list to highlight it and display detailed information below, including the other party's number, name, IP address, call start date and time, and call duration. You can also add text notes, download recordings, and delete records. Selecting Multiple Records Click the box on the left side of a record to select/deselect it. Multiple records can be selected. To select all records, check the top box for select all/unselect all Backup and Transfer of Call Records and Recordings To backup recorded data, save all subfolders under the storage directory. To transfer recordings to a new computer, follow these steps: 1. Copy all files and subfolders from the recording storage folder on the original computer to an external hard drive. 2. Install the iCallTrack software on the new computer. 3. Run iCallTrack and specify the storage folder in the settings. 4. Copy the data from the external hard drive to the designated storage folder on the new computer. 5. Exit and restart the iCallTrack software to complete the data transfer.
